User application
Nanzan University students may use student ID card and Nanzan Gakuen faculty and staffs may use Gakuen ID as a user card.
Those who do not have a student ID card or another form of identification will need to carry out the user application at the Service counter (Circulations).
Please inform the Service counter (Circulations) if there are changes to the details of your user application.

- Some form of personal identification is required to confirm identity. This can be something such as a Student ID card or drivers license which shows both your name and address.
- If you lose your user card it cannot be reissued.
- Your e-mail address required for registation to contact or send notices from us.
Nanzan University students, Faculty and staffs : Send to your e-mail address on AXIA.
Other users: Send to your e-mail address entered at time of registration.
Entry
User card is required to allow entry through the Library's identity-recognition gates.
Loans
Carry out the necessary procedure at the Service counter (Circulations), where you present your user card and the materials you wish to borrow (you may also use the automatic lending/returning machine on 1F). Some form of personal identification that is issued by, or proves your connection to, the Gakuen will serve as the user card.
A buzzer on the exit gate will be activated if you attempt to take an item out of the Library without carrying out the loans procedure. In such a case, Library staff will check the lending status.
Extending loan period
If you wish to extend the loan-period, please present your user card and the item at the Service counter (Circulations) and carry out the extension procedure before the date that it is due to be returned. You may extend the loan if the item has not be reserved by someone else.
Returns
Two days before the item is due to be returned, We will send you a return reminder e-mail two days before the due date to your registered e-mail address with the Library.
If you loose or damage the borrowed item please report it to the Circulations Counter.
Please return the borrowed item in one of the following ways.
- Service counter (Circulations)
- Returns box
※ A returns box is placed near the entrance for use at times when the Library is closed.
※ Materials from other universities, damaged materials, audio-visual materials, including any accompanying materials, or materials that are too large to fit through the slot must be returned directly to the Service counter (Circulations).
- Returns by post
※When returning materials by mail, please send them to the Library by recorded delivery (kan'i-kakitome) or special delivery service (takuhaibin).
※The date of the postmark is valid as the date of return.
Overdue Items
The day after an item has become overdue a reminder e-mail will be sent to registered your e-mail address with the Library.
After the due date has passed, you will not be able to borrow or reserve any new materials using OPAC or apply for ILL (inter-library loan) .
If you are late to return books due to a natural disaster etc. or hospitalization, you may be exempted at the discretion of the library director if you bring a doctor's certificate (a copy is acceptable) or some form of official statement.
Materials lost, damaged or destroyed
In the case that you lose, damage or destroy materials that you have borrowed, please report this straightaway at Service counter (Circulations).
There will be a charge levied to either replace materials that are lost, soiled or damaged or to compensate for their loss or damage.
Please note that such payment will not be refunded in the case that the materials are found after payment.

MyLibrary
If you have AXIA account, you can use the following on My Library from OPAC, But if you are not a full-time faculty member of the University, you must apply at the Service counter (Circulations).
- Reservation of materials on loan and held external stacks
- ILL copy / loan request
- Check usage status, etc.
- Purchase request (only for faculty members)
- Renewal of loan period (except for items that have been booked, limit of only one such extension).
Reservations
It is possible to use the online catalogue (OPAC) to search for and request materials including those held in libraries off campus.
When the item arrives in the Library you will be sent an email. Please then come to the Service counter (Circulations) to pick up the item.
When the item arrives the "loan status" will change to "on the reserved shelf."

<Schedule for the dispatch of materials held off-campus>
- Materials held off-campus are stored in locations some distance from the Library. They are dispatched 3 times a week except Saturdays, Sundays and public holidays.

Checking on availability or reserved items
People who are able to use the University's e-mail system can check the loan or reserved status of items they have borrowed or reserved. Please note that other than full-time members of the Nanzan faculty staff are required to apply in the Library. In addition to checking an item's availability, (whether it is out on loan or has been reserved by someone), My Library allows you to make Inter-Library Loan (ILL) requests for copying or borrowing of materials, as well as requests for new purchases (only full-time members of the faculty staff).

Nanzan University post-graduate students may be able to use their graduate school or graduate program budget, so before making your request please ask your academic advisor.
How the system works
- You can select materials suitable for Nanzan University Reiners Central Library from the user's point of view.
- You can request the library to consider purchasing the book you wish to purchase.
Materials
【These materials can be requested】
- Materials that are required for seminars or classes, or that you want the Library to hold because they will be useful for student learning or research.
【Materials to which this does not apply】
- Materials that are not appropriate to be held in the Nanzan University library, such as books that are not directly associated with learning or research such as how-to books or books on hobby topics.
- Expensive books costing more than 30,000 each.
- Periodicals such as magazines.
- Electronic journals or databases.
Points to note
- Please refrain from requesting the purchase of several materials.
- Please clearly state the reason for your request.
- The Library will make a decision on whether or not to purchase and will inform you via the notice-board. No further discussion with individuals will be entered into regarding the Library's decision.
- It can take several months until the item requested for purchase actually arrives. We recommend that you use the Interlibrary loan system if you need it quickly. (Apply at the Service counter(Reference)
- There is no guarantee of priority use for those who requested that an item be purchased.
- For copyright reasons some non-book materials, such as DVDs, cannot be taken out of the Library.
Temporary returns <Nanzan University Students, Fucalty and Staff>
If the date of return of an item that you wish to borrow is one month or more away, we can contact the person currently borrowing it and request that they return it temporarily.

However, we do not request temporary return of items that are on long-term loan to undergraduate students.
With temporary returns, priority is given to the circumstances of the person currently borrowing the item, so there are occasions when a temporary return is not possible.
If the person currently borrowing the item requests to be able to borrow it again after the temporary return, the period for you to borrow it is two weeks with no option to extend that.
Use in classes of audio-visual materials only available for use in the library <Facalty>
Among the Library's holdings, there are some audio-visual materials that cannot be taken out of the Library for copyright reasons or other reasons related to their use. If you would like to use such audio-visual materials in your classes, you are able to do so using one of the following methods.
Using the 1F Seminar Room
The Seminar Room on the 1F is available for use for lessons. It holds up to 60 people.
- Reservations in advance at the Service counter(Reference) are required for use of the seminar room. Please carry out the procedure regarding your change of classroom by yourself.
- No specific loan-procedure is required when using materials in the Audio-visual Corner.
Borrowing audio-visual materials for class-use
Bring the item in question and the "Request Form to Borrow Audio-visual Materials for Class-use" to the Circulations Counter.

Other matters
- Please contact the Audio-Visual Education Center directly to check if it is possible to use the materials in a classroom (ext. 3531).
- To prevent damage to the materials, please avoid using the returns slot when returning materials.
- In the case that Nanzan University full-time tenured staff or emeritus professors wish to borrow audio-visual materials (for reasons other than use in class) that normally cannot be taken out of the library they are able to apply use the special-loan system. Please submit a "Special Loan Request Form" to the Library. This system does not apply to items that cannot be taken out of the Library due to copyright reasons.Click here for the form to request permission
